Google Drive Integration

Automatically sync documents from Google Drive to keep your chatbot’s knowledge base accurate and up to date.

With this integration, your chatbot can learn from files stored in Google Drive and stay in sync whenever content changes.

Overview

The Google Drive integration allows you to connect folders from your Drive directly to your chatbot’s knowledge base.

Once connected, your chatbot can:

  • Learn from documents in Google Drive
  • Stay updated when files change
  • Organize content using folders
  • Answer questions using the latest information

This is ideal for product docs, policies, FAQs, and internal knowledge bases.

What You Can Do

After connecting Google Drive, you can:

  • Sync entire folders (including subfolders)
  • Automatically update content when files are edited
  • Add or remove files without manual uploads
  • Manage synced content directly from the platform

Before You Start

Make sure you have:

  • A Google account with access to the required Drive folders
  • The folders and files you want to sync already organized
  • A chatbot created in the platform

Connecting Google Drive

Step 1: Open Integrations

  1. Go to your chatbot
  2. Navigate to Integrations
  3. Select Google Drive
  4. Click Connect

Step 2: Authorize Access

You’ll be redirected to Google to grant access.

  1. Sign in to your Google account
  2. Review the permissions
  3. Click Allow

Once approved, you’ll be redirected back to the platform.

Step 3: Connection Successful

After connecting:

  • Your Google Drive account is linked
  • Available folders can be selected for syncing
  • The integration status shows as Active

Syncing Folders

Selecting Folders

  1. Open the Google Drive integration
  2. Choose one or more folders to sync
  3. Enable Include subfolders if needed
  4. Start the sync

The platform will scan all supported files inside the selected folders.

What Happens During Sync

During a sync:

  • Files are discovered from selected folders
  • Supported documents are processed
  • Content is added to the chatbot’s knowledge base

You can view sync progress and status from the integration screen.

How Files Are Processed

Supported File Types

The integration supports common Google and document formats, including:

  • Google Docs
  • Google Sheets
  • Google Slides
  • PDF files
  • Word, Excel, and PowerPoint files
  • Text and Markdown files

Processing Flow

For each file:

  1. Content is extracted
  2. Text is cleaned and structured
  3. Information is added to the knowledge base
  4. The chatbot becomes ready to answer questions using that content

Large or unsupported files are skipped automatically.

Auto-Sync

Keeping Content Updated

Auto-sync ensures your chatbot always uses the latest version of your documents.

You can choose how often content is refreshed:

  • Manual sync
  • Daily sync
  • Weekly sync

When files are updated, added, or removed in Google Drive, the changes are reflected automatically.

When to Use Auto-Sync

Auto-sync is recommended for:

  • Product documentation
  • Policies and guidelines
  • Frequently updated FAQs
  • Internal knowledge bases

Managing Synced Content

View Synced Files

From the integration dashboard, you can:

  • See all synced folders
  • View individual files
  • Check last sync time and status

Exclude Files

If a file shouldn’t be used by the chatbot:

  1. Open the synced file list
  2. Exclude the file from sync

Excluded files won’t be used for answering questions.

Remove a Folder

If you no longer want a folder synced:

  1. Open Google Drive integration
  2. Remove the folder

This will:

  • Stop syncing the folder
  • Remove its content from the knowledge base

Best Practices

Organize Your Drive

Use clear folder structures, for example:

Recommended Folder Structure

  • 📁 Chatbot Knowledge Base
    • 📁 Products
    • 📁 Policies
    • 📁 FAQs
    • 📁 Support Guides
    • 📁 Company Information

Keep Files Clean

  • Use clear file names
  • Avoid duplicate or outdated documents
  • Keep one topic per document
  • Remove unnecessary formatting

Update Regularly

  • Keep policies and pricing current
  • Remove outdated files promptly
  • Use auto-sync for frequently changing content

Troubleshooting

Files Not Appearing

  • Check folder permissions
  • Make sure files are in supported formats
  • Confirm the folder is selected for syncing

Content Seems Outdated

  • Run a manual sync
  • Check auto-sync settings
  • Verify the file was updated in Google Drive

Integration Not Working

  • Reconnect Google Drive
  • Ensure you’re using the correct Google account
  • Check the integration status is Active
