The order tracking system is structured around the lifecycle of a purchase order, from creation to fulfillment. The main workflow stages include:

Creating a Purchase Order

Purchase Order Form

The process begins with the creation of a new purchase order (PO):

  • PO Number: Unique identifier for the purchase order.
  • Supplier Selection: Dropdown to select the supplier.
  • PO Date: Date picker to specify the purchase order date.

Product & Shipping Details

Users can add multiple products and their shipping information:

  • Product Selection: Dropdown to choose the product.
  • CIM: Product code or inventory identifier.
  • Cost per Unit: Price per product unit.
  • Amount to Ship: Quantity of product to be shipped.
  • Add Button: Adds product and shipping info to the PO.

Invoice Generation and Preview

After creating a PO, the system enables invoice preview and download.

Invoice Header

  • Company Information: Logo, name, website, email, and contact number.
  • Business Address: Registered address and tax ID.

Shipping Information

  • Supplier: Name of the supplier.
  • Status: Current status of the order.
  • SPO Date: Supplier PO date.
  • Tracking: Tracking number or date.
  • Marketplace: Sales channel (if applicable).
  • Lead Time: Estimated delivery period.

Billed To

  • Company Name: Buyer (e.g., Amazon).
  • Company Address: Shipping address.
  • Company Contact: Recipient contact info.

Product Summary Table

Displays product details from the PO creation.

Financial Summary

  • Subtotal: Cost before tax.

  • Tax: Tax percentage (e.g., 10%).

  • Total: Final amount due.

  • Download Invoice: Button to save the invoice document.

Order Tracking Dashboard

The dashboard offers a visual overview of all orders organized by their stages.

Stages of Order Tracking

  • Draft: Orders being prepared but not finalized.
  • Production: Orders being manufactured or assembled.
  • Warehouse: Orders ready for shipment.
  • PO (Purchase Order): Orders that have been processed and finalized.

Each order card includes:

  • PO Number and Last Modified Timestamp
  • Order Description
  • Leaving Production Date
  • Units and Cartons: Quantity and packaging info.
  • O/S (Outstanding): Units yet to be shipped.
  • Cost: Cost associated with the order.
  • ETA: Expected delivery (e.g., Amazon FBA US).

Order Card Actions: Edit or delete orders directly from the dashboard.
